Team Assistant – Grove City, OH – 8.23.13

Position Summary:

Assist Sales Engineers and Project Managers in the functions necessary to ensure that each project comes to completion with efficient, expedient, successful, and profitable results.  Engage in direct communications related to projects with clients, subcontractors, architects, owners, Fabcon employees and, occasionally, financial institutions.

Essential Duties and Responsibilities:

  • Provide support for multiple Project Managers, Associate Project Managers, Sales Engineers and Associate Sales Engineers as assigned.
  • Assist the team, monitor and track required approvals, financial information and routing of contracts.
  • Prepare documents related to the Sales and Project Management process.
  • Provide administrative support for Project Management and Sales including preparing proposals, change orders, internal and external correspondence, filing, arranging travel, answering phone calls, documenting meeting minutes, processing project drawings and providing back-up phone assistance.
  • Maintain and update the IFS database as it pertains to specific projects, and other data entry as required.
  • Handle the mail and prepare expense reports.
  • Miscellaneous office responsibilities and special projects as directed.

Minimum Qualifications:

  • Customer service focus with excellent verbal and written communication skills
  • Ability to work independently with little direction
  • Good typing and documentation skills
  • Good basic math skills
  • Can read and understand contracts and company Work Instructions, policies and procedures
  • Proficient in Microsoft Office (Excel, Outlook, and Word)
  • Good decision-making skills
  • Well organized and detail-oriented
  • Ability to work overtime as needed

 Preferred Qualifications:

  • Two to three (2-3) years of office or administrative experience
  • Post-secondary education (Technical, Associate or Bachelor Degree)
  • An understanding of construction with the ability to read and understand construction drawings and specifications
  • Knowledge in estimating processes
